Job Description – Parts Manager

Department: Parts
Position: Parts Manager
Brand: Volvo Cars
Location: Dealership Premises
Reporting To: Dealer Principal / General Manager – Aftersales

Job Purpose

To efficiently manage the dealership’s Parts Department by ensuring optimum inventory levels, timely availability of genuine Volvo parts, effective procurement, proper storage, and smooth coordination with the Service Department to support customer satisfaction and business profitability.

Key Responsibilities

1. Parts Inventory Management

  • Manage overall parts inventory and maintain optimum stock levels.

  • Ensure availability of fast-moving, critical, and service-related parts.

  • Monitor stock ageing, slow-moving and non-moving parts.

  • Conduct regular physical stock audits and ensure inventory accuracy.

  • Minimize stock shortages, excess inventory, and obsolete stock.

2. Procurement & Ordering

  • Plan and place parts orders as per workshop requirements and dealership demand.

  • Coordinate with Volvo/authorized parts suppliers for timely supply.

  • Track pending orders, back orders, and expected delivery timelines.

  • Ensure correct ordering of parts based on vehicle requirements and VIN.

3. Workshop Coordination

  • Work closely with the Service Department to ensure timely availability of parts for repair jobs.

  • Prioritize parts requirements for customer vehicles and urgent repairs.

  • Ensure accurate issue of parts against repair orders.

  • Monitor parts consumption and identify unusual usage patterns.

4. Parts Department Operations

  • Ensure proper receiving, inspection, labeling, binning, and storage of parts.

  • Maintain proper documentation for inward and outward movement of parts.

  • Ensure systematic and safe storage of high-value parts.

  • Maintain cleanliness and organization of the Parts Department.

5. Team Management

  • Lead, train, and supervise the Parts Department team.

  • Allocate responsibilities and monitor individual performance.

  • Ensure compliance with dealership and Volvo processes.

  • Conduct regular team reviews and improve operational efficiency.

6. Financial & Business Responsibilities

  • Achieve Parts Department sales and gross-profit targets.

  • Monitor parts margins and ensure effective pricing.

  • Control inventory carrying costs and minimize stock losses.

  • Prepare and review monthly parts performance reports.

  • Identify opportunities to increase genuine parts sales.

7. Warranty & Documentation

  • Coordinate with Service and Warranty teams for warranty-related parts requirements.

  • Ensure proper documentation and return of warranty parts as per process.

  • Maintain accurate records for audits and compliance.

8. Customer Satisfaction

  • Ensure timely availability of parts to reduce vehicle repair turnaround time.

  • Support the Service Team in resolving parts-related customer concerns.

  • Maintain high standards of service and operational efficiency.

Candidate Profile

  • Graduate/Diploma in Automobile, Mechanical, or related field preferred.

  • 4–8 years of experience in automotive parts operations, preferably with a premium/luxury automotive brand.

  • Strong knowledge of automotive spare parts and inventory management.

  • Experience in dealership DMS/ERP systems.

  • Good communication and team-management skills.

  • Strong analytical and negotiation skills.

  • Ability to work under pressure and manage multiple priorities.

  • Good knowledge of MS Excel and reporting.

Preferred Experience

Experience with Volvo Cars or other premium/luxury automotive brands will be an added advantage.
