This role provides essential administrative support to ensure smooth daily operations within the dealership or corporate office environment. It focuses on documentation management, visitor coordination, and assisting various departments with clerical tasks to maintain high organizational efficiency and professional service standards.
Key Responsibilities
- Manage the front desk reception area, greeting walk-in customers and vendors with a professional demeanor.
- Handle incoming phone calls, route them to the appropriate departments (Sales, Service, or Spares), and maintain accurate call logs.
- Assist the Sales and Service teams with filing and organizing vehicle registration (RC) documents, insurance papers, and customer records.
- Maintain the inventory of office supplies and stationery, coordinating with vendors for timely replenishment within budget.
- Perform basic data entry tasks in the Dealer Management System (DMS) and support the accounts team with document sorting.
- Coordinate the dispatch and receipt of official couriers, ensuring all logs are updated daily.
- Oversee the maintenance of office equipment and ensure the cleanliness of meeting rooms and common areas.
- Assist in the preparation of daily/weekly administrative reports for the Branch Manager.
Requirements
- Minimum 12th pass or Graduate in any stream (B.Com/B.A./B.Sc) from a recognized board or university.
- Proficiency in basic computer applications, specifically MS Excel and MS Word.
- Ability to communicate effectively in the local language and functional English.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- High level of punctuality and professional grooming standards.
- Basic understanding of office filing systems and documentation procedures.
Preferred
- Prior experience in an automotive dealership or service center environment.
- Basic knowledge of Tally or similar accounting/ERP software.
- Possession of a valid two-wheeler license for occasional local administrative errands.

Work Environment
Standard on-site dealership office environment; 6 days a week (9:30 AM - 6:30 PM).
