Acts as the primary point of contact for the senior management, ensuring seamless daily operations and efficient communication across all dealership departments. This role involves managing complex schedules and handling sensitive information with the utmost confidentiality to support strategic decision-making within the automotive group.
Manage and maintain the executive's professional calendar, including scheduling internal and external meetings across multiple dealership locations.
Coordinate domestic travel itineraries, including flight bookings, hotel accommodations, and local transport arrangements for site visits.
Act as a liaison between the Director and department heads of Sales, Service, and Finance to ensure timely reporting and follow-ups on operational targets.
Prepare meeting agendas, record detailed minutes of meetings (MOM), and track the progress of action items across various departments.
Handle confidential business correspondence and maintain organized digital and physical filing systems for legal and OEM-related documentation.
Assist in preparing professional presentations, business reports, and MIS data for monthly performance reviews with the OEM representatives.
Screen incoming calls and emails, prioritizing urgent matters that require the executive's immediate attention while managing routine inquiries independently.
Graduate degree in any discipline (B.Com, BBA, or BA preferred) from a recognized university.
1 to 3 years of experience as an Executive Assistant or Personal Assistant in a corporate or retail environment.
Exceptional proficiency in MS Office (Excel, Word, PowerPoint) and G-Suite tools.
Strong verbal and written communication skills in English and the local regional language.
Ability to multitask and prioritize work in a high-pressure, fast-paced automotive dealership setting.
Possession of a valid two-wheeler or four-wheeler license for occasional local movement.
Previous experience working directly with Directors or Managing Directors in a mid-to-large scale enterprise.
Professional certification in secretarial practices or business administration.

Standard dealership or corporate office environment; on-site presence required 6 days a week (Monday to Saturday).
Potential to transition into roles such as Operations Manager, Corporate Communications Lead, or Customer Relations Manager within the dealership network.
