Ensures the seamless operation of daily office activities and facility maintenance within the dealership environment. Acts as a central point of contact for vendor management, procurement, and regulatory compliance to support sales and service functions.
Key Responsibilities
- Manage daily office operations, including supervision of housekeeping, security, and pantry staff to maintain showroom standards.
- Oversee the procurement of office supplies, stationery, and consumables while maintaining an optimal inventory level.
- Coordinate with external vendors for Annual Maintenance Contracts (AMC) for ACs, UPS, printers, and other dealership equipment.
- Handle facility maintenance and repairs, ensuring the showroom and workshop areas provide a premium experience for customers.
- Liaise with local authorities for the timely renewal of trade licenses, signage permits, and insurance policies.
- Maintain an updated asset register and track the movement of company property across different departments.
- Manage travel bookings, hotel accommodations, and expense processing for the management and sales teams.
- Support the HR department with employee documentation, attendance monitoring, and organizing internal corporate events.
Requirements
- 3-5 years of experience in administration, preferably within the automotive or retail sectors.
- Graduate degree from a recognized university (B.Com, BBA, or BA).
- Proven track record in vendor negotiation and facility management.
- Proficiency in Microsoft Office Suite, particularly Excel for expense tracking.
- Fluency in the local regional language and professional proficiency in English.
- Ability to handle 6-day work weeks in a high-pressure environment.
Preferred
- Basic knowledge of Tally or ERP systems for administrative billing.
- Experience in liaisoning with government departments or RTOs.
- Formal certification in Office Management or Facility Management.

Work Environment
Full-time on-site role within a dealership/workshop setting. Standard working hours are 9:30 AM to 6:30 PM, 6 days a week.
