This role provides high-level administrative support to the Sales leadership team, ensuring streamlined operations and effective communication within the department. It involves managing complex calendars, coordinating dealer-network meetings, and preparing critical sales performance reports for management review in a fast-paced automotive environment.
Key Responsibilities
- Coordinate and maintain the Sales Head’s daily schedule, including internal reviews and OEM representative visits.
- Prepare daily, weekly, and monthly sales MIS reports by extracting data from the Dealer Management System (DMS).
- Organize and document minutes of sales review meetings, ensuring rigorous follow-up on all action items.
- Manage end-to-end travel arrangements and expense processing for the sales leadership team.
- Act as a primary liaison between the sales department and other functions such as Finance, HR, and Service.
- Draft official correspondence, professional presentations, and sales circulars for distribution to the dealer network.
- Assist in the logistics and coordination of promotional events, new vehicle launches, and regional roadshows.
- Maintain a robust filing system for sales contracts, incentive structures, and OEM compliance documents.
Requirements
- Proven experience as an Executive Assistant or in a similar administrative role within a corporate office.
- High proficiency in Microsoft Office Suite, particularly Advanced Excel (VLOOKUP, Pivot Tables) and PowerPoint.
- Exceptional written and verbal communication skills in both English and Hindi.
- Demonstrated ability to multitask and prioritize tasks in a high-pressure sales environment.
- Strong attention to detail and a high level of discretion when handling confidential data.
- Availability to work on-site in a 6-day work week structure standard to the Indian automotive industry.
Preferred
- Prior experience working within an authorized automobile dealership or OEM regional office.
- Familiarity with automotive Dealer Management Systems (DMS) like Autoline, SAP, or similar platforms.
- Basic understanding of automotive sales terminology and RTO/Insurance processes.

Qualifications

Work Environment
This is a full-time, on-site role based at the Sales Headquarters or Regional Office. The standard work schedule is 6 days a week, typically from 9:30 AM to 6:30 PM.
