This role serves as the central point for all digital documentation and data management within the service department. It focuses on maintaining accurate vehicle records, processing service billing, and ensuring the integrity of the inventory database to facilitate smooth workshop operations.
Key Responsibilities
- Open and close job cards accurately in the Dealer Management System (DMS) for all incoming vehicles.
- Update real-time service status and labor hours as reported by the floor supervisors and technicians.
- Manage spare parts requisition and ensure inventory levels are updated correctly in the system.
- Generate final invoices, tax receipts, and service certificates for customers upon vehicle delivery.
- Upload required service data and warranty claims to the OEM portal in strict compliance with brand standards.
- Maintain digital records of customer feedback and service history for future reference and CRM activities.
- Prepare daily, weekly, and monthly service performance reports for the Service Manager.
- Coordinate with the accounts department to reconcile daily collections and credit entries.
Requirements
- Minimum 1-3 years of experience in data entry or operations within an automotive dealership.
- Proficiency in using automotive Dealer Management Systems (DMS) such as SAP, Autoline, or Oracle.
- High typing speed with a strong focus on data accuracy and detail.
- Basic understanding of automotive parts and service terminology.
- Proficient in Microsoft Excel for generating and maintaining service trackers.
- Ability to work in a high-pressure environment with strict deadlines.
Preferred
- Previous experience with a major OEM brand (Maruti Suzuki, Hyundai, Tata Motors, etc.).
- Knowledge of GST billing and basic accounting principles relevant to the automotive industry.
- Resident of the local area or within a reasonable commuting distance.

Qualifications

Certifications: Certificate in Computer Operations, OEM-specific DMS Training Certification (if any)
Work Environment
Standard authorized dealership service center; 6 days a week, typically 9:30 AM to 6:30 PM.
