This role involves overseeing the end-to-end warranty claim lifecycle within an authorized dealership to ensure maximum recovery and compliance with OEM standards. The focus is on meticulous documentation, technical verification of failed components, and maintaining organized storage for audited parts. It acts as a critical link between the workshop operations and the manufacturer's technical department.
Process and submit all warranty claims through the Dealer Management System (DMS) within the OEM-stipulated timelines.
Physically inspect failed parts and cross-verify with technician stories to ensure the validity of the claim.
Maintain the warranty part room, ensuring all replaced components are properly tagged, binned, and stored for audit.
Coordinate with the Service Manager and OEM Technical Managers for pre-approvals on high-value or complex repairs.
Monitor claim status daily and handle rejections by providing additional technical justification or correcting documentation.
Reconcile warranty credits with the accounts department to ensure accurate financial tracking of parts and labor.
Conduct monthly analysis of common failures and report trends to the workshop team to improve first-time-right repairs.
Prepare for and represent the dealership during periodic OEM warranty audits.
1-3 years of experience in automotive service operations, specifically handling warranty or service advisory.
Hands-on experience with Dealer Management Systems (DMS) such as SAP, Oracle, or proprietary OEM software.
Comprehensive understanding of automotive mechanical and electrical systems to validate technical failures.
Proven ability to maintain detailed digital and physical records with high accuracy.
Ability to work in a fast-paced workshop environment with strict deadlines.
Fluency in the local language and functional English for technical reporting.
Prior experience working with a major Indian OEM (e.g., Maruti Suzuki, Hyundai, Tata Motors, or Mahindra).
Knowledge of GST implications on warranty transactions and parts return logistics.
Certification in Warranty Management or Technical Diagnosis from an OEM training center.
DMS Proficiency, Failure Analysis, Inventory Management, Technical Report Writing, Microsoft Excel
Attention to Detail, Negotiation, Organizational Skills, Analytical Thinking
Education: Diploma or B.E./B.Tech in Automobile or Mechanical Engineering; ITI candidates with significant experience may be considered.
Experience: 1-3 years in Indian Automotive Service sector.
Certifications: OEM Warranty Process Certification, Technical Diagnostic Certification (preferred)
On-site at an authorized service center; standard 6-day work week; involves coordination between the workshop floor and office.
Candidates can progress to roles such as Service Manager, Regional Warranty Auditor for an OEM, or Spare Parts Manager within the dealership network.
